Details: Invoices

The Invoices tab under Insights → Details shows what you have invoiced and how much of it has been collected: paid, pending and overdue amounts, invoices per status, and how long overdue invoices have been outstanding. Use it to follow up on collections and to keep accounts receivable under control.

Scope

The tab has no filters. Every tile covers all invoices on your platform, from your first invoice until today. Use the Customers tab for one customer, or Ask to build a filtered version of a tile.

Payment status

An invoice’s payment position comes from its lifecycle status, its payment status and its due date. Only final invoices have a payment position:

PositionRule
PaidFinal and marked as paid
OverdueFinal, not marked as paid, not on hold, and the due date has passed
PendingFinal, not marked as paid, not on hold, and the due date hasn’t passed yet, or there is no due date
On holdFinal, not marked as paid, and on hold

Together they add up to the total invoiced: Total invoiced = Paid + Pending + Overdue + On hold. Outstanding, used on the Customers tab, is everything that isn’t paid: Outstanding = Pending + Overdue + On hold.

Paid, pending, overdue and AR aging only work when payments are synchronised to Solvimon and the paid status is actively used. Invoices paid through Solvimon’s payment links are marked as paid automatically. Payments you collect outside Solvimon must be marked as paid on the invoice, in Desk or through the API (see Invoice payment status). If your platform doesn’t keep the paid status up to date, unpaid-looking invoices count as pending and, after their due date, as overdue, so these tiles don’t reflect what your customers actually owe. A partially paid invoice counts as unpaid for its full amount.

Key figures

All four amounts include tax and are in your reporting currency.

TileFormulaUse it for
Total invoicedΣ total of all final invoicesEverything you have billed, as the base for the other three tiles
PaidΣ total of final invoices marked as paidHow much has been collected
Overdue (past due & not marked paid)Σ total of overdue invoicesHow much is late and needs follow-up
PendingΣ total of pending invoicesHow much you can expect to collect when invoices fall due

Paid, Overdue and Pending are only correct when payments are synchronised to Solvimon and the paid status is actively used; see Payment status.

Charts

Invoiced amount per month

Billed revenue, including tax, per invoice month: the month in which each final invoice was issued. The chart shows up to 60 months.

Formula
Invoiced amount (M) = Σ total of final invoices with invoice date in M

Use it for the receivables view of billing: what you invoiced each month, and therefore what you can expect to collect a payment term later. The Monthly revenue charts on Overview and the Revenue tab group by billing period month instead, so invoices billed in arrears or issued late land in a different month there.

Invoices by status

The number of invoices in each lifecycle status: Draft, Open, Final, Void and Future.

Formula
Invoices per status = count of invoices with that status

Use it as a health check of your billing pipeline. Draft invoices that stay draft long after their billing period ended are usually on hold or waiting for review.

AR aging (overdue by bucket)

The overdue amount, including tax, split by how many days the invoices are past their due date.

Formula
Days past due = today − due date
Bucket = 1–30 days, 31–60 days, 61–90 days or 90+ days
AR aging = Σ total of overdue invoices, per bucket

Use it to prioritise collections. The older the bucket, the lower the chance of collecting: 1–30 days is usually a reminder, 90+ days often needs escalation, a payment plan or a write-off. Like Overdue, AR aging only works when payments are synchronised to Solvimon and the paid status is actively used; see Payment status.

Top customers by invoice

Billed revenue, including tax, for the 10 customers you have invoiced the most, across all time.

Formula
Top customers = Σ total of each customer's final invoices, ten highest

Use it to see which customers account for most of your billing, and therefore most of your receivables risk.
