Business Central

Connect Solvimon to Microsoft Dynamics 365 Business Central to import your customers and items, and to push finalised invoices to Business Central as sales invoices.

Prerequisites

  • An active Microsoft Dynamics 365 Business Central account, with access to the company you want to sync.
  • An item in Business Central for each product you invoice. Business Central needs every sales invoice line to point to an item, so each Solvimon product must be linked to one before its invoices can be exported. Importing your items from Business Central creates that link for you.

Connect Solvimon to Business Central

1

Connect your Business Central account

In Solvimon Desk, go to Menu → Settings → Integrations → Business Central and click Connect. Log in with your Microsoft account and grant Solvimon access to your Business Central environment.

When the connection is enabled, Solvimon creates the custom fields it uses to link records between the two systems:

Custom fieldResourceHolds
BC_CUSTOMER_IDCustomerThe Business Central customer ID
BC_ITEM_IDProductThe Business Central item ID
BC_INVOICE_IDInvoiceThe Business Central sales invoice ID
2

Configure and enable workflows

Once connected, open the configurations tab to enable the workflows you want to run against your Business Central environment. The supported out-of-the-box workflows are listed under configuration; if you don’t see the one you’re looking for, reach out to your Sales Executive.

You can disconnect the integration at any point from Desk.

Data flow

Imports are triggered manually from the workflow list in Desk; invoice export runs automatically.

If you register customer payments in Business Central and want the payment status reflected on your Solvimon invoices, reach out to your Sales Executive to discuss syncing payments from Business Central to Solvimon.

You can import your customers from Business Central to Solvimon to speed up your onboarding process.

Every Business Central customer is created as an organisation Customer in Solvimon. Customers are matched on BC_CUSTOMER_ID, so running the import again updates customers you imported before instead of creating duplicates.

To be valid for subscriptions and invoicing, a customer needs a complete address, including a country. Review imported customers and complete any missing details before you subscribe them to a plan.

Items configured in Business Central can be synced to Solvimon. They are created in the product catalog under the category BC Item Imports.

Items that were already imported, matched on BC_ITEM_ID, are skipped, so you can run the import again after adding new items in Business Central.

An imported product is a reference to the Business Central item; it doesn’t carry a price. Its invoice lines are booked to that item when invoices are exported.

Whenever an invoice is finalised in Solvimon, it is pushed to Business Central automatically as a sales invoice.

If the customer being invoiced has no BC_CUSTOMER_ID yet, Solvimon first creates the customer in Business Central and stores the new ID on the Solvimon customer.

The sales invoice is created with the following mapping, and its Business Central ID is stored on the Solvimon invoice as BC_INVOICE_ID:

Each invoice line is added as an item line on the sales invoice:

Invoices are created in Business Central as draft sales invoices. They don’t affect your general ledger or customer balances until you post them in Business Central, where they receive a posted invoice number. The Solvimon invoice number stays available on the posted invoice as the external document number.

Tax is calculated by Business Central from the VAT or tax setup of the customer and item, not sent by Solvimon. Make sure the posting groups in Business Central match the tax treatment on your Solvimon invoices.

To get the most value from the integration, follow these steps:

  1. Import your customers and items from Business Central to Solvimon.
  2. Use Solvimon to create draft invoices.
  3. Review and edit invoices in Solvimon Desk as needed.
  4. Finalise and send invoices to customers using Solvimon.
  5. Review and post the synced sales invoices in Business Central for general accounting.

Synchronisation is trigger-based by default. If you need custom triggers, reach out to your sales executive.
